Once you've completed all steps of the first stage of your Abstract Management process, you can begin setting up the next stage of your Abstract Management process by selecting "Add Stage" and using the same series of steps you followed for the first stage. If you have accidentally added an additional stage or have decided to forgo the last stage, you can select "Delete last stage" (You will receive a popup notification asking you to confirm whether or not you would like to delete the last stage, and once you have selected "Yes", you will not be able to undo this action).
Some portions of the next stage will not be available until you activate it. However, you will still be able to create Evaluation Forms and customize the Final Notes beforehand. After you have finished processing the Evaluation Form responses as well as determining whose abstract or presentation submission will be moving forward to the next stage, you can select "Activate next stage" (Similar to deleting the last stage, you will receive a popup notification asking you to confirm whether or not you would like to activate the next stage, and once you have selected "Yes", you will not be able to undo this action).
NOTE: Once you have selected "Activate next stage", you cannot return to a previous stage. Proceeding to the next stage is an irreversible action. Additionally, you will not be able to select "Delete last stage" if the last stage is active.
Once you have activated the next stage, you will not be able to accept or reject presentations from the previous stage. Submissions from previous stages will show grayed-out statuses, as seen in the image below.
Only accepted presentations will appear in the next stage, and new presenters will not be able to submit their presentations. Please make sure all presenters have submitted their presentations before you activate the next stage as the Presentation Submission Form will close once Stage 1 becomes inactive. Additionally, only accepted presenters will be able to edit their submissions if you choose to enable editing for the active stage. Please make sure you have confirmed the accepted/rejected status of each presentation before activating the next stage.
After activating the next stage, you will be able to enable submission editing, assign presentations to reviewers, continue creating evaluation forms, assign evaluation forms to presentations, monitor evaluation responses, determine presentation status of this stage, and share feedback.
If you have customized your Presentation Submission Form to open new questions during different stages or have asked your presenters to review the reviewers' feedback and edit their presentations, please make sure to not select the toggle under the stages to prevent submission editing.
Please note that if you intend on making a multi-stage Presentation Submission Form, you will need to first make all of your stages within the Abstract Management Workflow and then customize your Presentation Submission Form. If you edit your Presentation Submission Form prior to turning on Abstract Management or creating any additional stages, you will not be able to properly set up what stage each question will appear in. You do not have to set up all of the steps of each stage prior to customizing your Presentation Submission Form, but both workflows are interconnected in that you must create multiple stages first before editing your form to open different questions during different stages.
Congratulations! You've now set up a multi-stage Abstract Management workflow! Please see How Reviewers Review to take a look at what a reviewer’s interface looks like.
